Human Resources & Administrative Assistant 

11 Months Temporary Contract – Maternity Leave Replacement


You will support the Unit Director in the administrative management of the site and the HR tasks.

You will provide daily on site administrative and HR support to the 60 employees of the unit.

Your role will be focused on the following duties:

  • Management of incoming calls in a professional and courteous manner
  • Direct phone inquiries to the appropriate staff members
  • Greet visitors and clients
  • Administrative support : Filing, receiving / sending mail, draft letters, handle inbound & outbound letters
  • Organization of meetings
  • Planning of office events, booking travel arrangements for managers
  • Reply to general information requests with accurate information
  • Processing various accounting information, placing orders for office supplies
  • Management of billing (customer / supplier) and of non-food bills
  • Management of certain schedules and working hours of agency workers
  • Recording and transmission of information
  • Management of employee absence information
  • Management of daily attendance sheets or time sheets
  • Daily update of the operational dashboard, preparation and tracking of site management dashboards
  • Process HR administration tasks (on boarding documents, data transmission to HR team, coordination with payroll department)
  • Communication of relevant information to Management
  • Monitoring compliance with HR procedures
  • Registration of new employees in time clock system, activation of the new joiners’ building access cards
  • Management of WCB documentation and declaration of workplace accidents with WCB
  • Coordinate the training sessions for work safety
  • Edition of work contracts


  • Prior HR Coordination experience OR prior Administrative Support experience is required
  • Administrative diploma OR HR related diploma is an asset
  • Advanced level of proficiency in all Microsoft office applications (Word, Excel, PowerPoint, Outlook).
  • Strong English speaking and writing skills
  • Attendance, diligence, punctuality and reliability
  • Ability to adapt to a fast-paced environment, organizational skills
  • Bilingual (French / English) is an asset (but not at all mandatory)
  • Ability to create gentle contact with the team, strong interpersonal skills
  • Respect of confidential data, as the management will entrust you and expects loyalty
  • Sense of humour and high level of team spirit

The unit is accessible by Calgary Transit (Bus 32 – Huntington/Sunridge). However, it would be much more convenient for candidates to commute with their personal car.
